Gallery Hire & Use
The hire /use of Space@565 Gallery & Cocktail Bar will be conditional on the following:
The exhibition and/ or its content does not contravene any state or federal laws in relation to the dissemination or display of material
that is deemed to be inappropriate, discriminatory or offensive.
The general operations of the City of Sydney RSL & community Club or its contractual third parties must take priority over all other uses if required.
In the event of the space being required the hirer will be contacted and an agreement will be negotiated.
If required, compensation will be provided to the same value.
The availability of the nominated exhibition facilities for hire or use will be at the absolute discretion of the Chief Executive Officer of the Club or the Gallery Manager.
Long Term booking are at the discretion of the Gallery manager.
Requests for the hire of Gallery facilities must be made in writing to the Gallery Manager with a minimum of four (4) weeks’ notice.
Requests outside this time frame will be at the discretion of the gallery manager and no correspondence will be entered into.
The exhibitor will follow the rules, procedures, directions or instructions of the Club & the Club’s management at all times.
Failure to follow the directions of management may be considered a breach of contract and a loss of deposit may occur.
All fees & Charges are subject to change as per the City of Sydney RSL & Community Clubs Budget resolutions.
Space@565 Gallery & Cocktail Bar Fees & Charges
The time allotments for an exhibition are based on one session being equal to seven days.
The week begins on a Wednesday 1000am and ends on the following Wednesday at 1000am.
There are currently two modes of presentation for works:
1. General hanging presentation areas
2. Multi- media resources (3 wall mounted LCD’s, 4 Bar mounted LCD’s and a portable LCD).
Gallery Hours –
As level 2 operates as a Restaurant and cocktail bar the Club is required to maintain regular opening hours for the members of the club, their guests and visitors.
The floor does have space available for private functions and may be discussed with the Clubs Functions & Events Coordinator.
The Gallery’s advertised hours of operation are:
Pre Lunch viewing–11:15 am – 11:30 am
Lunch - - 11:30 am -2:30pm
Afternoon viewing–2:30pm-5:30pm
Dinner- (Sun – wed) 5:30pm- 8:30pm (Thurs- Sat 5:30-9:00pm)
Evening viewing –-(Sun – Thurs) 8:30pm – 930 pm (Fri- Sat 8:30-10:00 pm)
N.B- Hours may be extended or reduced depending on trade – Management discretion applies.
Sale of Works
All exhibitors must provide an ABN to the gallery manager on application to exhibit if the exhibitor wishes to offer work for sale.
A commission of 17% (exGST) will be deducted from artworks sold.
If a purchase is required to be posted or delivered by courier to a buyer,the charges related to insurance and delivery will be passed onto the purchaser.
Hiring
All exhibitors will complete and sign a Hire of Exhibition Space Application Form and complete and sign the Hire of Exhibition Space Agreement,
thus acknowledging acceptance of all the conditions of use of the outlined in this document.
Deposit
The Exhibitor will be required to pay a deposit of 50% deposit on hiring the Exhibition space charges payable for the term required. The balance remaining must be paid on the day before the opening time of the session term. Failure to pay the balance will result in forfeiture of the deposit paid. Late cancellations of less than 14 days written notice to the Gallery manager of the opening date will also incur a loss of deposit.

The hours required for opening nights or private functions may be discussed with the Gallery manager and the Functions & Events Coordinator.
Presentation of Work
The exhibitor acknowledges that the Gallery manager retains the right to remove any material that is determined to be unacceptable to the galleries presentation standards.
All exhibitors will be aware that the gallery is located within the Club’s restaurant and minors are permitted entry into the area when restaurant trading hours are in use.
The exhibitor will also be required to present a brief portfolio of all work to be exhibited (digital photographs will be accepted) for review.
The non acceptance of work will be final and no correspondence will be entered into.
Advertising
All advertising must be approved by the gallery manager prior to publication or electronic dissemination. The Club will produce ‘exhibitor menus’ detailing works and sale prices.
The Club will also promote exhibitors work on the Club’s website.
Copyright
The exhibitor will not infringe or breach copyright, performing right or protected right involved in the hiring and shall indemnify the club against all claims, demands or actions from any such infringement or breach.
Photography, broadcasting, film & television recording
Any intentions to photograph, broadcast, televise or record any activity within the Club will be entirely at the discretion of the Club’s Chief Executive officer and the Chief Executive Officers agents.
Facilities, Equipment & Services
The gallery will permit the use of a microphone if required during a closed exhibition or function. Please discuss with the gallery manager when booking arrangements.
The exhibitor will not, except with the approval of the gallery manager in writing, make any additions or alterations to the structure, facilities, goods, furniture, floor, equipment or decoration of the gallery.
Damage, repairs, loss,
Exhibitors are responsible for any damage sustained to Club property during opening and/or closing nights and functions, caused by themselves, invitees or other people attending the function, whether in the actual function room or in any other area of the Club.
General and normal cleaning is included in the cost of the Hire charge, but additional charges may be payable if the function has created cleaning needs above and beyond normal cleaning.
Property
The Club will take all necessary care but will not accept responsibility for damage or loss of any client’s property in the club before, during or after the exhibition or function. The provision of insurance for the damage, loss or theft of work is the responsibility of the artist or photographer.The exhibition area is under overt CCTV surveillience 24 hours / 7 days a week and the floor will always have a staff member in the area when the area is open for trade. The floor is locked when closed.

The hanging system installed has a attachment system for works that makes it difficult for work to be removed without authority.
Exhibitors property must be removed from the Club’s premises by the 5pm the following day after a session has concluded (exceptions may be made on application to the Gallery manager). An additional charge of $50 per day will be charged for storage of unauthorised property left on the club’s premises and all care will be taken yet no responsibility taken.
Service of alcohol, acceptable behaviour & under age persons
The gallery area is within a licensed area and therefore service of alcohol regulations is applicable.
The Club reserves the right to refuse the service of alcohol to any guest(s) it considers to be under the age of eighteen, or intoxicated, or behaving in an offensive manner.
Persons under the age of eighteen must be in the company and direct supervision of a responsible adult at all times.
Persons under the age of 18 years of age are permitted in the area only if their parents or a responsible guardian is partaking in the services offered by the Club's restaurant.
The exhibitor is responsible to conduct the opening or closing night or function in an orderly manner and in full compliance with the rules and House Policy of the Club’s management and all applicable laws. We reserve the right to intervene if a function’s activities are considered illegal, noisy or offensive.
No Smoking
Smoking is not permitted at any time. Outdoor terrace facilities are available for use on level 1 & 4.
(Please note these areas are restricted to persons over the age of 18 years).
Music
The provision of amplified music is prohibited unless authorised in writing by the Gallery manager.
A comprehensive music system is available within the venue and may be organised only after application.
Exhibitors Employees or agents
The Exhibitors employees or agents are required to comply with all conditions of use and any direction from the Clubs management team. The gallery manager’s decision will be final.
Prohibition of assignment
The exhibitor shall not transfer, assign, sub-let or sub-hire their rights under the Hire of the exhibition agreement.
Breach of Agreement
The Club reserves the right to cancel the agreement at any time for any breach of club policy or procedure.

All potential exhibitors are required to complete and sign a Hire of Exhibition Space Application Form to officially lodge their exhibition enquiry.
